The European Geosciences Union (EGU) is the leading organization for Earth, planetary, and space science research in Europe. With our partner societies worldwide, we foster fundamental geoscience research, alongside applied research that addresses key societal and environmental challenges. To fulfill EGU’s vision of realising a sustainable and just future for humanity and for the planet, EGU publishes 19 open-access scientific journals and organizes and supports meetings and numerous education and outreach activities. The EGU General Assembly is Europe’s largest and most prominent European geosciences event, having seen a major increase in the number of participants over the last ten years. In 2020, EGU successfully achieved an emergency pivot to an online conference, and also ran a fully virtual conference this year. As we look to the future, EGU is now looking to employ someone who will help us to consolidate our move into providing an integrated hybrid in-person and virtual events experience.

EGU is seeking to appoint a full-time, permanent Events Co-ordinator to assist with the planning, administration, management, and delivery of our extensive portfolio of conferences, education courses, and other events, whilst also assisting with the development of a strategic plan to hybridize future EGU events and meetings in both an in-person and virtual space. The position will be based at the EGU Executive Office in Munich, Germany.

Main tasks

  • Providing essential administrative support to the EGU Programme Committee, a body of volunteers who currently design, coordinate and direct the annual General Assembly, especially acting as support to the Programme Committee Chair
  • Liaising with our third-party conference organiser
  • Guiding and supporting the Programme Committee and our conference organiser in designing innovative science conferencing solutions to move EGU to a more sustainable form of conferencing, integrating new technologies and ideas for scientific meetings
  • Providing administrative assistance to the EGU Topical Events Committee, which supports the organization of conferences and training schools

Key Requirements

  • Qualification or experience in Events Management, particularly in a scientific, academic or higher education setting
  • At least 2 years experience in meeting management, conferences or scientific events organisation either in person or virtually; ideally both
  • Demonstrated project management skills; organization, prioritization, and analytical skills with a proven ability to multi-task and manage complexity
  • The ability to forge strong relationships with volunteers and other stakeholders at all levels, including managing and setting clear and well-defined expectations
  • Be able to communicate effectively with and across different groups, translating concepts and/or ideas, whilst maintaining project focus
  • The ability to work in a collaborative, non-profit, multi-national environment
  • Strong written and verbal communication skills in English
  • The ability to adapt to, and manage, changing schedules quickly and efficiently

Terms of employment
This position, to start in winter 2021, will be subject to a 6-month probation period before becoming permanent. It is a full-time appointment (40 hours per week). The successful candidate will be entitled to 30 vacation days per calendar year in addition to public holidays in Bavaria and 24 and 31 December, will benefit from German statutory health insurance and the company pension scheme and will contribute to compulsory pension insurance. The successful candidate will be asked to relocate to Munich as soon as it is feasible to do so.

We offer a competitive salary, and indicative remuneration will be in the range of €42,000 – €49,000 subject to expertise and experience.
